When to Use AI Moderator
This article covers the situations AI Moderator fits, and the ones where a live moderated session is the better choice.
USE AI MODERATOR WHEN
- You need a sample size qualitative research usually cannot reach. If the question is whether a reaction is a pattern rather than one person's view, you need enough sessions to tell the difference. Thirty interviews is practical here and rarely practical live.
- Participants are hard to schedule. Spread across time zones, working shifts, or simply hard to pin down. A link they open when free removes the coordination that normally caps qualitative sample size.
- You know roughly what you need to learn. You can write a discussion guide that covers the territory. The AI explores what you set out for it to explore, and does that thoroughly.
- Consistency across sessions matters. Comparing markets, segments, or creative variants, where questioning that drifts between sessions would undermine the comparison.
- The timeline is short. Sessions run in parallel, so fieldwork is limited by how fast participants arrive rather than how fast a researcher can work.
- You want to test at a stage that usually skips qualitative. Because sessions cost little to add, you can run interviews at points in a project where the budget would normally only stretch to a survey.
USE A LIVE MODERATOR WHEN
- The topic is sensitive or emotionally difficult. Where participants need someone who can read the room and adjust.
- You are genuinely exploring. Early discovery, where you do not yet know what you are looking for and the value is in following whatever the participant raises.
- The session needs improvisation. Reacting to something unexpected, changing the task mid-session, or working through a problem with the participant.
- Stakeholders need to watch live. AI interviews run unattended.
- The sample is very small and each session is precious. With six expert interviews, a skilled moderator getting the most from each one matters more than consistency across them.
A PRACTICAL SPLIT
Most studies are not either-or. Run live sessions for discovery, then AI interviews for validation. Live sessions tell you what to ask. AI interviews tell you how widely it holds.
Use AI Moderator for the breadth of your sample and live sessions for the segments that need careful handling.
Where you are unsure, run a handful of AI interviews first. They cost little, and reading the transcripts tells you quickly whether the discussion guide is getting what you need or whether the topic needs a person.
